You never give us a password.
Read access lets us see your reports and nothing else. It is separate from your own login, it cannot change anything in your file, and you can switch it off any time.
QuickBooks Online Plus or Advanced: two minutes, from a computer
- Sign in as the primary admin or a company admin and click the gear icon, top right.
- Click Manage users, then Add user.
- Choose Reports only, enter bart@bayfrontbookkeeping.com and send. We accept the same day and tell you when the 48-hour clock started.
The phone app cannot add users. Simple Start and Essentials have no Reports only user, so on those plans we use a few report exports instead. If you would rather, you can invite us as your accountant; that user can see more, and for the review we still only read.
On another system or plan?
- QuickBooks Online Simple Start or Essentials, QuickBooks Desktop, Xero, Sage or NetSuite: a few report exports, about ten minutes. We send the exact steps for your version.
- If you prefer, Xero can invite bart@bayfrontbookkeeping.com with the Advisor role, or NetSuite can add a read-only role, and we export the reports ourselves.
- Spreadsheets: send the workbook you keep and the bank, card and loan statements through a secure upload link. Moving to a proper system is never a condition of working together.
For the review we need twelve months of general ledger detail, the trial balance and the receivables aging. Every system exports them.
What we can see
Your financial reports. A Reports only user cannot open or change a transaction. No access we ask for shows us your password, your bank login or your payment details.
What helps
The latest statement for each bank, card and loan account. Without one, the report says that account was not tested. Five short questions about your current setup are optional.
To remove us
Gear icon, Manage users, then delete our user. It takes effect immediately. Exports you sent are returned or deleted when you ask.
The review is a diagnostic for the owner. It is not a financial statement, an audit, a review or a compilation. We read the books with our own software, including Anthropic's Claude with model training turned off.
